What is Holmdel Hive?

Holmdel Hive is an AI-powered assistant built for parents in the Holmdel Township School District. It is a research pilot project created by a Holmdel parent. It is not affiliated with, endorsed by, or operated by the Holmdel Township School District, the Board of Education, or any school.

What we collect

• Email address - used for sign-in verification only.
• Display name (optional) - if you provide one during onboarding.
• Onboarding responses (optional) - number of kids, grade levels, comfort level with AI. All fields are optional.
• Conversations - your messages and the AI's responses are stored to provide conversation continuity and for research analysis.
• Analysis metadata - each message is analyzed for sentiment (e.g., curious, anxious), topic category, and safety signals. This is used for aggregate research, not individual profiling.

What we do NOT collect

• Names, ages, or identifying information about your children
• School records, grades, or academic data
• Location data or device identifiers
• Browsing history outside of Holmdel Hive
• Payment or financial information

How we use your data

• To provide the service - your messages are sent to an AI model (currently Claude by Anthropic) to generate responses.
• To improve the service - aggregate, anonymized analysis helps us understand what topics parents care about and how to make Holmdel Hive more useful.
• To monitor safety - messages are screened for safety signals. If a message indicates a crisis situation, it is flagged for human review.

Who sees your data

• The project administrator can see aggregate analytics and flagged safety concerns via the admin dashboard. Individual conversations are accessible for safety review only.
• Anthropic (the AI provider) processes your messages to generate responses. Anthropic's data usage policy applies to data sent to their API. Messages sent via the API are not used to train their models.
• Google Cloud Platform hosts the application and database. Standard GCP data processing terms apply.
• Resend sends verification code emails. Only your email address is shared with Resend for this purpose.
• Your data is never sold to third parties.

Data storage and security

Data is stored in a Google Cloud SQL database in the US East region. The database is encrypted at rest and in transit. Access is restricted to the application service account and the project administrator. Authentication is handled by Firebase Auth with session cookies.

Data retention

Conversation data and analysis results are retained for the duration of the research pilot (estimated through September 2026). After the pilot concludes, data will either be anonymized for research purposes or deleted. You may request deletion of your data at any time by contacting the project administrator.

Children's privacy

Holmdel Hive is designed for use by parents and guardians, not children. We do not knowingly collect information from anyone under the age of 18. If you believe a child has used Holmdel Hive, please contact us and we will delete the associated data.

Your rights

• You can request a copy of your data at any time.
• You can request deletion of your account and all associated data.
• You can stop using the service at any time - simply don't sign in.

Changes to this policy

We may update this privacy policy as the project evolves. Significant changes will be communicated to registered users via email. The "last updated" date at the top of this page reflects the most recent revision.
